3PL integration access: questions to resolve before connecting your store

An integration should have a defined job, a named owner, and a way to remove access. Establish those three things before connecting your store to a fulfillment service.

List the work the connection must perform

Write down whether the integration needs to receive orders, read product data, update inventory, return tracking, or support another task. Then ask the provider to map its requested permissions to that work. Shopify documents several ways of using fulfillment services; the existence of an integration option does not answer which implementation your account will use. Confirm the exact app or connector and its support owner.

Distinguish access from operational ownership

A provider may have permission to update inventory without being responsible for every inventory correction. Agree which team handles catalog changes, stock adjustments, order holds, and synchronization errors. Use named business roles rather than shared personal logins where the platform supports them. Ask how staff changes are handled and how you can review the authorized users or apps.

Test both a normal order and a recovery

Use approved test data and agree whether orders can reach a live warehouse. Demonstrate an ordinary order, cancellation, failed update, and retry. Record what happens when the connection is unavailable and how the backlog is recovered. Avoid testing with real customer information when a controlled sample can establish the same behavior.

Plan the end of access at the beginning

Write a checklist for switching providers: data exports, open-order reconciliation, app removal, remaining credentials, and confirmation of retained records. Ask who approves and executes each step. A clean exit depends on inventory and order ownership as well as the technical disconnect. Review any security or privacy requirements with the people responsible for them in your business.
